Maintaining an overview with different employees and locations
We are a constantly growing company, with currently 150 employees at three locations in Germany. This also increases the demands on security with maximum flexibility, as time naturally plays an important role. Access to our file server must always be guaranteed, and at the same time we need to audit authorizations.
This is where we came across the Access Manager from BAYOOSOFT GmbH. Previously, permissions were assigned via Active Directory groups, but this became increasingly confusing as the number of shares and users grew. It was also becoming increasingly difficult for the growing admin team to recognize who was responsible for which area and who had permissions to the growing folder structure. This resulted in a flood of emails and delays in business processes.
The Access Manager as the answer
In addition, a certain amount of discipline is required to ensure that authorizations are not simply set up on demand in day-to-day business. Insufficient documentation is also a problem, meaning that a lot of time was wasted when checking authorizations. As a result, we were faced with an unsatisfactory initial situation that required a solution.
Looking back, we can say that we have found an absolutely suitable solution with the Access Manager. The approval process has been significantly accelerated as requests are sent directly to the folder owner or their representative. Ticket creation in this area is completely eliminated, as is processing by the admins. In turn, employees no longer have to wait for the ticket to be processed in order to gain access to the required shares.
This concept makes it possible to work independently of traditional service hours and at the same time supports modern working time models.

Implementation of the BAYOOSOFT Access Manager
“In particular, the option to always have an overview of the current permissions on your own folder, as well as the ability to proactively set permissions yourself in the event of changes to the team structure, was very well received,” reports Boris Mengler, IT Lead at ETECTURE. He adds: “The department heads, who are usually appointed as folder owners, have quickly accepted the tool as it is easy to use and the benefits are clear to see at a glance. There has only been positive feedback so far.”
The installation proved to be relatively easy for the administration. Small hurdles were quickly overcome in cooperation with the BAYOOSOFT GmbH support team. Incidentally, the problem of inadequate documentation was also solved thanks to the clear reports and the option for folder owners to view an overview of the assigned authorizations directly in the portal. This means that we now have permanent, audit-proof documentation. The transfer of responsibility to the department heads and thus away from the admins was also an important and sensible step.
